Please take a moment to read the following so that you will understand how our system works in order to best decide your options.

How emails are distributed

KNN sends email notices from two separate systems:

  • The website database
  • The KNN database

Understanding emails sent from the website database

One of the great features of our upgraded website is the ability to send emails to members.

  • All members will be sent notices of the following:
    • Items of general interest.
    • Event announcements and reminders about all-KNN events, such as Adventurers and dinners.
    • Activity signup reminders for those who have yet to register.
  • These notices will be sent only to the member's main email address (see below).
    • Couples who have a shared listing will receive email at only one address.
    • Couples who have separate listings will receive email at both addresses.

  • The "From" address will be admin@kenmurenewcomers.org

Understanding emails sent from the KNN database

In addition to the listing you see on the website, we have a database that sets up activity groups and maintains a membership history. This highly sophisticated program also develops the individualized activity packets for each member based on selections for a given rotation.

One email will be sent from the KNN database for each rotation:

The final activity packets containing the setup and contact information for each group.
    These emails go to the main email address (see below). They are sent from one of our three Data Volunteers. 

    Couples please note: Some of the activity groups are gender specific, such as Men's Poker and Ladies Lunch Bunch. If you are using a shared email address for most contact, you may want to consider the following:

    • In order to make the contact information accurate, you can give us a Spouse/Partner email for the gender specific groups. In other words, the main email will appear in the activity packet as the contact email for Dining at the Grill and the husband's email will be listed for Mens Poker. (See #2 below)

    Entering email addresses

    Each member record has two places where email addresses may be entered, the main member email address and the Spouse/Partner  email address.

    • The default for your entry is the preference you specified when you joined KNN or at some later date. You can change it now or at any time in the future.

    Understanding the main member email address

    The website member directory uses the main email address as a "unique identifier." In other words, each record can have only one main email and each must be unique in the system.email primary.PNG

    Understanding the Spouse/Partner email address

    This is an alternate email address that can be used one of three ways. You can:

    1. Simply list it as an alternate address.
    2. Couples can instruct that it be used for the activity selection process only. That is, it will be listed in the contact information for gender specific groups (see Couples please note above).
    3. Couples can instruct that it be used to create a separate records for each spouse/partner, allowing individual login and receipt of all emails sent from the website database.

    To change or update your Spouse/Partner email preference

    There are two relevant to this selection:

    • Spouse/Partner email (if different)
    • Options for this email address
    1. Login as a member and click View Profile.
    2. Navigate to the Contact Data field.spouse email.PNG
    3. If it is different from the main email, enter the address.
    4. Options for this (Spouse/Partner) address:
      1. If you want to use it as a reference only, leave this field blank.
      2. If you want it used only in listings for gender specific activity groups, choose the first option.
      3. If you each want separate website logins and to receive all KNN notices, choose the second option
        • Choosing this option will direct the Database Chair to create a 2nd record so that you can each login with your own email address and password.
        • When the logged in party comments in Blogs and Discussion Forums, only one name and the proper photo will appear.
        • You will receive a confirmation email when the 2nd record has been created, usually within a week of the time you make the request.
